CES (Community Equipment Services)

Barwick Systems Limited is pleased to announce its inclusion in the Community Equipment Services framework agreement awarded by the NHS Purchasing & Supply Agency. National agreement reference number: RG/RE/03/01/01.

The BSL Community Equipment Services software application provides a comprehensive management tool enabling CES staff to trace equipment to end users, perform deliveries/collections, and manage stock.

The application may be served via Windows or over the WEB.

Full Traceability

Every item of equipment recorded in CES is fully traceable, including audits for historic equipment issues.

Bar-coding

The system employs the rigorous use of bar-codes, which allows for the definitive identification of equipment for traceability within the delivery, collection, and refurbishment life cycle.

End Users

Comprehensive search and retrieval utilities. An end user may be uniquely identified by Unit number, NHS number, National Insurance number or LSCS number. Current and historic equipment may be viewed, demographics may be audited (change of address/GP), end user correspondence may be retrieved and reviewed within Microsoft Word*. The system also incorporates automatic address retrieval from postcodes ,and vice versa, the ability to merge patients and validate end user details via the NSTS.

E-mail facilities

The automatic notification to a purchaser/prescriber when back ordered stock is issued/delivered. Ability to e-mail directly from end user demographics.

Budget Management

A purchaser/prescriber budget may be monitored within a financial year. An authorising purchaser/prescriber may override any budget limitations.

Optimised Route Planner

When deliveries are allocated to a delivery vehicle, the system produces an optimised route with directions and maps.

Enquiry & Reporting

Virtually limitless capabilities utilising standard reports (e.g. PAF D38) and the supplied automated QueryBuilder tool. The reporting modules will allow for the data to be imported into Microsoft Excel* for presentational purposes.

Purchase Orders

The ability to create, monitor, confirm and verify purchase orders with suppliers.

Stock Lines

Equipment is managed via stock lines and these stock lines may be allocated to a particular catalogue. Stock line information includes in stock, allocated, free, in refurb, due in, on order, end user and sold totals. Any current notices are flagged against the stock line i.e. Hazard, MDA etc.
Stock lines may be trackable or non trackable. The system mandates the use of barcodes with trackable stock lines. User defined reorder levels may be allocated to a stock line.

Stock

Inventory and contract audit details are available. Service history, including details, job audit and PAT tests if applicable. Item history - with the ability to review the delivery/collection order details.

Refurbishment

The ability to scrap or book back into stock. Service history information is captured relating to the technician, action and time taken for the refurb process.

Comprehensive stock take procedures are incorporated within the system including verification, variance and valuation components.

Letters

A user with sufficient security may maintain letter templates within Microsoft Word*. In addition to the rich functionality of Microsoft Word* it is possible to incorporate demographic markers into the body of the letter. When letters are produced a mail merge is performed bringing End-User details into the body of the correspondence.
Letters may be issued via distribution lists, call logger, and against an End-User directly.
Delivery and collection template forms may be maintained in a similar manner.
